INTRODUCTION

Commercial units have always been in need for good design of their informatics system. Having the good established program can increase efficiency of the facility by a great deal.

The first software running in such a complex has been first recorded with the year 1960. From the beginning of the ‘90s those systems have slowly climbed up in almost every activity of our daily progress.

The benefits of such systems improve the performance stability and availability of the records of any process that was made in the past.

ANALYSIS OF THE CURRENT INFORMATICS SYSTEM

General Presentation

1.1 Assembly

Star DVD is renting firm to provide the public with high quality DVD's for periods of time at reasonable prices. The costumer simply comes in the store, browses the films and display, and after choosing what satisfies his needs, proceeds to the cashier where a simple transactions takes place and onwards with the next one.

The current informatics system reveals the nature of the design and its multi-purpose functions:

The store is made up for four rooms, the main hall, containing the worker/costumer area and a public library of the current films in the inventory. The total area of the complex is 100 s.m. with two back rooms:

85 square meters (commercial space)

26 square meters (inventory, main system branch)

4 square meters (staff facilities)

At the entrance of the store, there are to stations for the costumers to use. They are a fast way of browsing what’s in stock without the effort of looking through the physical library.

The virtual library contains only the movies on display. The client can only look, not modify the content. The data is manually imputed and erased in the system with the access of the administrator passkey.

On the side of the store, the cashier point stands. Here the transactions of done. The employee takes the order, stores it in key data of the costumer and the condition of the DVD in the transaction process. After a few short steps are followed, the bill is printed and a bill for the store to keep a physical track of the status of the business and to serve an inventory reference.

As the cashier completes the transaction a digital copy of the transaction is stored in the system to keep a virtual database of what is currently on the shelves of the store and what not.

1.2. Relevant History

The store opened in the year 2007, and it had a huge success.

It went under renovating in 2009 to satisfy the increased demand by the public. Modernizing it to the current standards has always been a top priority since then.

In 2010 the store moved from its secluded location to a more populated area in the city, the mall “City Plax” of the town with an increase of population. Ever since, the traffic of the store has increased more and more, thus leading to the need of another change of its current physical and virtual state.

It is a store that belongs IMAX 3D C.M. (cinema mall).

The current system been updated of time but it was more of patches update. Modifications at specific components which over time incompatibilities have risen, and again parts of the system or modified or changed.

Those processes have had the effect of global slow-down of the system, which caused management problems and record keeping. Several crashes have been recorded due to the over pushing the hardware over boundaries and overheating.

The physical connection of the in store network is also old and patched up and is the need of a change with better quality equipment. The hardware of the placement needs to be updated. Upgraded public equipment, machines (cashier, back room), a bigger memory bank need to be installed and a better cooling system.

Activity profile

3.1 Current operating status

Considering the incoming traffic, the store has to be open six days a week with day shifts.

From opening to closing the store, there is always a costumer in the vicinity. Either looking at the virtual library or through the maze of DVD shelves.

When someone finds something they are interested in, they simply tell the clerk and so the transaction process begin. The clerk checks the state of the product in front of the person, and damages if present are pointed out. This exam’s result is to insert the idea that costumer will return the DVD in the same condition as it is given. Void of this exam will result in keeping the deposit.

The information collecting process begins. The important details are stored in the system for security purpose and required in order to make any transaction with a legal contract. The cashier inserts the details (full name, ID number, address, phone number, email) in the database through rudimentary software operating on Windows 98.

The client PC’s are in use, they

the movies on display and in stock. Each movie has a picture under its title. Those computers can only view the content regarding the DVD (title, picture) any other access is restricted.

The employee computers have the permission to change, modify, erase and input data in the memory banks. All content is the server is put in manually, except for the transaction data, which is stored automatically at the completion process, and can only be accessed with the administrator passkey. This provides an honest way of keeping records. If anything is missing or the profit does not match, the records stored automatically and greatly help the situation, thus serving as a security measure too.

3.2 Activity monitor

The informatics system is always under watch since it has slowed down due to wear and tear. Checks are always made to make sure all date has been stored properly in the database. Tracking the temperature of the machines is also important to prevent any unexpected shutdowns.

The costumer computers are also updated at short intervals. For people who don’t have time to walk around, a quick look at the virtual library should show what’s in stuck in a matter of minutes. Always putting new material is necessary to keep in with the incoming demands.

For movies to be shown on those computers, they must have granted permission from the administrator account to view the library. Due to the increase of the space of the growing library the system began to sometimes glitch or slow down browsing experience.

Staff has to be always conducted properly, in the event of a system problem; they must be able to ensure that every costumer is served. Unfortunately this does consume more time, and decreases the satisfaction of the client. Not to mention lines are made and traffic increase makes is hard to keep track of what is everyone doing. In such days all stuff must be present to keep everything under control.

Keeping track on the staff and the merchandise is one of the most important tasks in those circumstances. A catalogue at the desk allows them to sign in and out of the complex. And an automatic card stamper that stores digital stamp of the workers unique card provided at hiring point.

This is one of the most important systems in the store. Thus its importance the system is separated and owned by a private security company which is also dominant in the mall complex (“Gladiator” agency.cc). Only the owner of the store has the permission to view those materials. Its importance keeps track with a time and date stamp on the employee card and the computer.

The staff has a tight schedule and keeping track of it is a very important thing. Having clear record of the hours working, sick days, vacation days, provides information regarding the employee salary and if he is up for promotions or not.

3.3 Tracking principles

Tracking what’s going on in the store is very important. It benefits not only by improving efficiency but making sure everyone is doing what they are supposed to do. A physical schedule is made every month. After each activity is done (important activity only) the employee signs it.

Another aspect of this process inclines towards discipline, giving the store a better view from the costumer’s point of view.

Physical records are kept from every transaction made in the store area. When a transaction is complete the stores keeps a physical record of the client’s information. When he returns the DVD, the two contracts are compared with unique serials and stamps. Making sure that the contract is original and has no been modified in any way by the costumer or the store. This ensures that the rules are respected through out the rented period.

3.4 Daily operation of the facility

In normal working day, the costumer and the store are involved only in transaction. Renting and returning DVD’s, occasionally buying original ones from sellers is the main activity.

Having a proper chain of command greatly increases the performance of the staff, but also creates a warm atmosphere that attracts people in.

Occasional days during the month, the staff stay one hour over time to check the store contents, validate the contracts, and check if anything is missing.

Inventory days happens every too months. Their all the records are checked and compared. The entire stock of DVD’s is checked for anything missing, damages. Over due bills are verified and costumers who haven’t came are checked upon.

If the product is not returned the deposit made at the transaction will be kept and used to replenish missing or damaged DVD’s.

There are certain days (e.x: holidays) where the staff needs to perform certain activity due to the celebrations. Inventory is done and compared with current ratings and come up with discounts and economy or family packets.

The films that are traditional in some months are always placed forward on demand. Always changing what’s on display and what is coming out soon improves the number of visitors.

Presentation of current system in place

4.1. Detailed analysis of the current system

The request for the new system update stated major changes in its functionality. Almost the entire equipment had to be replaced in order to operate on a new system. The increase in demand also means that faster response time is required between the user and the machine.

Considering the application the current system is running (“REX” library manager from “ITU” Informatics University of Texas), the platform installed is Windows 98. The combination of the two is quite stable under normal circumstances, but under pressure the system does glitch, and slows down. The Hardware was also designed to support this system, but at the current peace the hardware is barely coping with the constantly increasing database.

The wire that is in use now, due to the wear and tear of the year has decreased the performance. Bends and other harms have damaged some of the delicate intricate part and that in turn affected the process at a global level.

Current printer of disposal is an old version of black and white dual cartridge (“Axonix”) and is only capable on running with a Windows 98 platform. Its state cannot permit for faster printing of what is considered today fast printing. The request for a new printer was placed to improve timing.

4.2 Explaining the problems reported

Exploring both elements of the situation, the current state of informatics system in place, the problems reported, and requests pointed out, the result had to meet the demand. A new platform was required, application, and all the necessary documentation involved the process. The new printer meant faster printing, which leads to a new esthetic look for the printed documents in both cases, costumer purpose and administrative requirements.

Necessary cables needed to be changed to increase performance and timing. Faster timing means less waiting times for transactions or data collection, storing, modifying, reviewing.

To support the newer operating platform change of the computers is required. More advanced with better performances is required. The existing patched up system proves lack of stability thus making the change more important overall. It must be compatible with the new printer and other equipment that might be brought in at any time in the store depending the up-coming changes or modifications in the policy or simply for commercial used.

Greater memory banks are required to increase the virtual library location space. Space is also needed to the new staff is waiting to be hired at any time. Smaller more efficient and less space-consuming units will provide the comfort of space and greater memory.

To support all those changes the current platform Windows 98, need to be replaced to a more advanced operating system. Better tuning it to the new equipment update will cause the major decrease in communication timing.

4.3 Proposing solutions for the problems

Main operating system requires a replacement to a better more improved version of Windows XP. This major change will solve all the compatibility issues in machine communication and software hardware response. Having a new system will allow of a printer with increased performance “Hp-photosmart” laser-jet printer with a higher page printing rate and also allowing colored ink.

The proposed equipment was proposed to provide a faster process between the store and the client. Better computers for both client and employee use. The change of the screen for better resolution HD-series monitors to lower the stress on the eyes of both parties.

A new application must be made to make it a more innovative method in the renting of the merchandise. The new operating and hardware update of the system will allow for the more performance. A software with bigger parameters will have the capacity of a better database management.

New interface is required for the client computers and employee computers. Costumer computers need hardware update to make the experience smoother. A better display is required with a better resolution to make the material displayed more comfortable and clearer for anyone watching it. The increase speed of the communication connection will permit access to the movie database more efficient. The user will be able to browse through the virtual database at a much faster rate. Allowing for many more costumers using the stations posted in front of the entrance.

A new database needs to be designed do ensure a faster and less time consuming process.

The database needs to be redesigned with a more efficient program. It needs to communicate with the employee, computers, costumer computers, and the security department computers, operating on Windows XP will make that possible.

The employee has constant communication with the server can add, change, delete, data with and only with, the administrator passkey.

The server is also in permanent connection with the security department. There, their separated programs copy the data. And stores it for proof incase anything that might happen due to unforeseen issues such as memory loss, equipment damage.

The security department receives from both the server and the employee computers to make sure everything is the same.

Printed proof of each transaction will be stored in a physical database so provide further security layers for the complex and its employees.

Figure 6: represents how the virtual database communication should take place during any process within the complex. Employee computers have back and forth communication with the data base and just forward with security branch. Server has only forth communication with the security branch as well.

Implementing a new type of interface will increase productivity. A more graphical application with easy to use choices instead of manually typing in all the details. Previews costumers will only need to show their ID to big up their log and skip the registration process.

Newer documents need to be printed to accommodate the for a new style and design of the paper work that must occur everyday at the complex. The contract needs to be redesigned and key elements need to be positioned in different places. The bills need to accommodate for more data entries and with the add of a better printer, information that could benefit the store commercially can be added on the ticker, coupon, costumer contract.

Elaborated analysis of the facility

The simplicity nature of the store renders high tech. equipment unimportant. Knowing the system needs to do just a few basic tasks, it software and hardware status is compatible with the workload. At its current location the store inherited the previous network owned by the previous owner of the space. The system is compatible and is adaptable to change, but communication between systems has slowed down.

Giving the amount of space is give at disposal for this project; the components of the system can be placed strategically across the area to provide best ergonomic conditions, for not only costumer but the worker as well. Keeping a low stress environment is always best for achieving better production employee wise.

Respecting the chain of command helps keep order and discipline through out the working hours of the complex

The Mall management is in charge of investment and the management of the store.

The office supervisor makes sure everything thins is tore properly. All procures of the transactions and modifications in the office, the status of the employees and status of the work area are noted. The manager manages all the employees of the complex. If anything is to happen within the store, all reports are required to report to the manager.

The employees are in charge of transaction process between the store and the costumer. The duty on floor requires them to step within the complex and try and help anyone in need of assistance regarding anything to do with the store, its activities, products, and services offered.

Relationship Presentation

All workers are qualified and trained in the post they choose. The basic skills in computers are required to perform any transaction or proceed with any report regarding daily activities.

All desk and field workers answer to the manager. Problems regarding costumers, incidents, personal issues, are all covered by the manager’s position. He most sharp decisions due to sudden changes within the working area or between the employees.

The office supervisor answers to the general director and the manager. His job is to keep tab on all the transactions that occur in the store. Digital and physical records are checked and compared to make sure no mistakes were made at any point within the process of registration and renting.

The state of the employees is also important, in order to have a productive environment a calm atmosphere, the status is monitories important information is wired to the manager and/or general director.

When a decision is taking regarding management, the officer provides the key details for those type of situations. Observing who works better with whom, teaming up will become much more easier and comfortable. Office friendship is very important when it comes to working together.

Hence the store is under the mall’s management all decisions regarding major changes within the sore are passed through. All decisions need to be approved by the board in order to become reality. Written reports must be written with any idea, changed in the store. Decisions are taking based on the impact the change will have on the store its is daily activity processes.

After a careful consideration of all the statements and the analysis from the current system, a new more improved system needs to be implemented to increase the speed of data collection and in turn improving the time required for a transaction.

New interface for employees needs to be implemented. When the collection of costumer data takes place the improved interface will allow for better time management.

3. Elaborating the plan

The new system must improve the traffic capacity of the hardware, and with that change, a software acceleration will take place. Taking all factors in consideration, the importance of the store being opened on time, the time line has been develop provide time of adaptation until the renovation of the complex is completed.

Within the permitted time, installment of cables, hardware elements, and software elements must be installed and booted for use.

Removing all the cables and replacing them with better more efficient materials

The costs of the equipment can be precisely calculated from the multiple information points disposable at any complex designed in the informatics field.

They are split as such in order to allow the store to do business, and not shut down completely. That would mean decline in profit and loosing costumer and causing errors in the deposit system.

Store has the ability to do the update over time. Meaning that night shifts, weekends, off days, are always good candidates for working periods.

The process will slow down the store globally, but within a window represented in the section, the replacement of single parts of the system without shutting it down completely.

Within one window of the tame frame, in the permitted time, a schedule is to follow. Explaining every step with all the details creates a better working environment. Dismantling any physical part of the system, or uninstalling any software from the system, installing the newer updates, booting the system up, and checking is for errors has to be done in each time frame for a single part of the system within the facility wall.

Testing or fine-tuning parts of the system can be accomplished at the distributer of the hardware. Pre made orders with custom specifications can be arranged for.

Reproduction of documents

The implementing of a new application will require a new set of documents of for transaction and record keeping purpose.

Each type of document has a pre-determined purpose:

-Costumer bill

The costumer bill needs to accommodate for more information. With the update of better printing equipment the quality of the printed information also improved.

Key information needs to be placed on the bill, which also serves as the contract, which is stamped and signed, by both the costumer and the cashier. This will serve as proof that the costumer has approved of the presented conditions presented by the facility.

Such things might be as, rules about maintaining the condition of the product, deposit conditions, renting information, transaction number, information about the store.

-Administrative bill

-With every transaction a copy of the costumer bills is kept of the records. This servers as proof that both parties approved the transaction with the same conditions. Void of the contract will result in deposit loss or other problems depending on the gravity of the situation and why has the contract been broken.

The quick references of the bill towards the rules of the store show clearly how the costumer should handle the merchandise.

-Physical print out of transaction

The receipt is one of the most important part of the transaction process. This serves as main proof that there was a deal between the commercial unit and the costumer. With important information and unique identity traits, they can be both be traced from one another, allowing for a better tracking system between the DVD’s in the store and DVD’s that are rented.

All the data incoming in the system has to be gathered, transported, archive processed in conditions of precise accuracy and we have to avoid error situations. The critical information has to be prioritized, especially the decision making information.

For a good and efficient way of use we need a well designed and friendly interface so the user can get confortable while using it.

Use of the language

.NET

The .NET framework is a software development from Microsoft. It provides a controlled programming environment where software can be developed, installed and executed on Windows-based operating sistems.

The principal design features are:

-Interoperability: This allows for .NET developed programs to access functionalities in programs developed outside .NET

-Common Runtime Engine: also known as the common language runtime, this allows programs developed in .NET to exhibit common behaviors in memory usage, exception handling and security.

-Language Independence: Common language infrastructure specifications (CLI) allow for the exchange of data types between two programs developed in different languages.

-Base Class Library: a library of code for most common functions used by programmers to avoid repetitive rewriting of code

-Ease of Deployment: there are tools to ensure the ease of installing programs without interfering with previously installed applications.

-Security: programs developed in .NET are based on a common security model.

C#

An object-oriented programming language that is based on C++ with elements from Visual Basic and Java. Like Java, c# provides automatic garbage collection, whereas traditional C and C++ do not. C# was created by Microsoft and also standardized by the European Computer Manufacturers Association (ECMA). Microsoft designed C# as its flash ship programming language for the .NET environment.

ADO.NET

ActiveX Data Object.NET (ADO.NET) is a software library in the .NET framework consisting of software components providing data access services. ADO.NET is designed to enable developers to write managed code for obtaining disconnected access to data sources, which can be relational or non-relational (such as XML or application data). This feature of ADO.NET helps to create data-sharing, distributed applications.

ADO.NET provides connected access to a database connection using the .NET-managed providers and disconnected access using datasets, which are applications using the database connection only during retrieval of data or for data update. Dataset is the component helping to store the persistent data in memory to provide disconnected access for using the database resource efficiently and with better scalability.

SQL Server

SQL Server is Microsoft's relational database management system (RDBMS). It is a full-featured databse primarily designed to compete against competitors Oracle Database (DB) and MySQL.

Like all major RBDMS, SQL Server supports ANSI SQL, the standard SQL language. However, SQL Server also contains T-SQL, its own SQL implemention. SQL Server Management Studio (SSMS) (previously known as Enterprise Manager) is SQL Server’s main interface tool, and it supports 32-bit and 64-bit environments.

SQL Server is sometimes referred to as MSSQL and Microsoft SQL Server.

The application is saved in MDI format so all the windows are contained in the main window for an easy approach.

First step is picking the client, its getting searched by the phone number and if he is not found, the window for adding a new customer;

The second step is picking the movies, you can choose up to five movies, found by code

The third step is the calculation of a final price, choosing the date when the customer has to bring back the movie

Right clicking on one of the rents, a menu opens up where the admin can choose the movies that were brought back without any delay from the customer; if the client is late, an extra charge is calculated that the clients need to pay *total payment*0.01

The application keeps users and information of the users, even the clients will have a user name and a password so it will be easier in a future update. The movies can be found by the code, name, genre, year, price or stock or combinations.

The application handles database connection with the “Connection” class, which opens and returns the connection object by the “Use” property. On the next level, the “database” class simplifies getting data by a set of functions: ‘One Value’, ‘One Row’, ‘Query’, on saving data, by ‘NonQuery’ function.

The application can be developed for online reservations for the clients to use or you can create a module for selling movies.

Efficiency and utility of the Application

Conditions for the implementation of the Application

For a good efficiency of the application it would be best to use a high performance equipment (computer).

Using the application will require users to autentificate, the app was build so it would store up all the users so that it would be much easier to identify and find every input and output.

In practice, implementation of the logical schema in a given DBMS requires a very detailed knowledge of the specific features and facilities that the DBMS has to offer. In an ideal world, and in keeping with good software engineering practice, the first stage of implementation would involve matching the design requirements with the best available implementing tools and then using those tools for the implementation.

The efficiency of the Application

Using a database is a simple case of efficiency, we introduce and store our data and they remain intact in the assigned positions. To create highly scalable systems, the database is designed to identify the volume of transaction for each piece of data and group them accordingly.

The database allows us to select, filter or display any information about someone that at first sight seem difficult. One of the greatest advantages is that even if we get some local errors or system failures, the system can continue to perform on average level.

The graphic interfaces display the user a set of diagrams and the requests are formulated by manipulating these diagrams. The users don’t have to be familiar with the database or programming because of the friendly interface that makes it easy to use for anyone.

Another advantage is that the same database can be used by multiple users in the same network. The efficiency of the network is great because the database is on a server and different users can use it simultaneously, no matter the distance and there for we have a better resources use and memory save because of the unique save of the database.

Conclusions

In conclusion, the database was implemented successfully and the employees got used to it very fast because it represents the strictly necessary in an easy and quick form. The advantages of the friendly interface and the posibility of using multiuser were welcomed and efficient.

These kind of databases can help a firm to get more profit and an easier way to handle their objectives and gives the employees a satisfation of their workplace. Its hard to complete a general form of a database to satisfy allot of firms or companies and that’s why we go for specialized solutions in reaction to the needs of the market.
