General Questions
1. Why are you applying for this position? What do you want to get out of this experience, both
personally and professionally?
The position of finance manager deals with both contracts and collaboration with
members. I would like to apply for this position because I would like to collaborate with the
other members, but also to learn how to draw up a contract. I think it will help me to know
what a contract mea ns and help me communicate with those around me in my daily life.
2. What is the role of a TL or manager inside AIESEC in Brasov? How do you envision the way of
working between you and the EB?
The role of a TL or manager inside AIESEC in Brasov is to help their VP to coordinate the
members and streamline the work. I think I must be close of the EB because we need each
other.
For example, VP on Finance can teach me how to make a contract , and I, in my turn, will be
able to see a contract mistake or even make contracts that would help VP a lot because the
tasks will be divided into 2 .
3. How do you see the importance of the Team Standards and how will you ensure their
implementation in your term. How will you keep your members engaged throughout your term
and ensure their development? (where applicable)?
The Team Standards are us ed as a guide for TL to create good team experiences. It is divided
into 3 levels, Building , Performing and Closing .
The Building stage help to create the team. I n the Introduction the team knew better, and
afterwards TL transmitted them the positions they have in the team. Once the team is formed,
TL transmits them the Plan they have to achieve good results, this part being important in
collaboration because members can come up wit h ideas to improve the plan to achieve success
more easily. Once the strategy is ready, the Personal Goal S ettings are set up to know what
each person wants to do to achieve his goal.
The second level is Performing where TL knows better the skills and progress of its members. In
the Regular Team M eeting , the TL can see how the rest of the team can handle teamwork, how
the team is performing and how it works with others. To better know what happens, a TL has to
do re gular One to O ne with its members to see how they handle their tasks and what their
achievements are. Besides excessive work, it is good to have a Team D ay in which members can
do interactive activities to relax, get better acquainted and increase work sat isfaction.
The level of Closing helps you realize what you have gained from this experience so that in the
Report you see what you have succeeded and what you failed to do to reach your goal. It is
important to see at the end whether your plan has succeeded or failed to lead the project to
the expected level and it is good to realize where you have been wrong or what can be
improved in the future. On the Transition side, you can see what you've been able to teach the
team members you've been able to convey, and that part also covers the transmission of
information to other members by transferring documents. The Debri ef part represents the part
where you analyze everything you have accumulated from the team experience and what they
will do next depending on what they have accomplished.
4. How do you see the collaboration with the other TLs/Manager from the Middle
Mana gement? Please answer according to the JDs and give specific examples.
Collaboration with other TLs / managers in MM is important because we support each
other. They shouldn’ t hesitate to ask for financial advice because money and contracts are
very important for a project. I think they are good in the first three weeks a weekly meeting and
after that will be necessary one meeting at 3 weeks. If a project is in progress then will be more
meetings with the respect ive TLs or manager, because that will be made to reinforce them in
relation to financial education .
Finance manager
1.How do you see the role of this position regarding the financial health of the local?
The posi tioning of the manager is important for the health of the local because it ensures
that all that is happening is legal and ensures that the contracts are recorded and kept . In
addition to documentation, a finance manager must ensure that other members understand
the idea of sustainability so they have to talk to them to help them finalize their projects well.
2.How do you envision the ideal contract flow?
I think that the ideal contract flow will be in six days . I think that for the process o f making a
contract 1 day is enough, after that, I will give the contract to the person who needs it and after
the contract will be signed that person will have five days to give it back to me.
For example, new members will be given a voluntary contract after 2 weeks of entering in
AIESEC and they will have one week to give the contract back after they will signed it . For
contracts with companies or schools, it will be granted 5 days to return the c ontract after it will
be signed.
3.Present the ideal way of working with the middle management and with the EB. Highlight the
top synergies.
To collaborate with middle management or with EB is equally important because the
information must be transmitted in both ways. Is important to speak with EB because they take
decisions and they can transmit it to their members .I think is importan t to speak more with
middle management because they will be the ones who need more to know about the contract
or how they can be more sustainable because they will interact directly with the project .
First of all, I will explain to those in the MM what a contract is and then I will explain how to
make a receipt. After these I will try to convince them to take care of expenses, for example,
not to risk too many sophisticated things and to try to solve the financially efficient things (for
example it needs 3 0 diplomas and he does 60 to be sure it will be okay, these expenses can be
avoided by simply paying attention to completion and checking them, of course there may be
reserves but not so many)
4.What is your strategy in order to have a proper archiving method for the documents?
To make work more efficient and to find the documents that you need , I think we can sort
them first, depending on the years . Once sorted out by year, the documents of that year will be
taken and will be sorted out for each type of contract are them (voluntary contracts, GH
contract, etc.). After that will be sorted by type of contracts each type of contract will be sorted
in chronological order . Each type of contrac t can be put into a file of a certain color that will be
written type of contract and the number of contracts that it contains. After these steps, all the
files will be put in a box on which the year of the respective contracts will be written, but also
the total number of documents .
(For example, in 2019 there are a total of X documents of which Y are voluntary contracts)
Documents can also be archived online with the same method, instead of boxes and colored
files will be folders with specific names (for example, in folder 2018 there will be other folders
named after each type of contract where the contracts will be found in electronic format )
5. How do you plan to ensure that the Changemakers Factory’s financial goal is going to be
achieved in the local? Present 3 strategies that you will use in order to achieve these goals.
Legality is very importan t for the health of the local because of the fact that in order to achieve
the goal of 100% legality , it is not enough just to check the contracts but it should also be a
special meeting where AIESEC members learn what a contract means.
Being Sustainable is important for the future of AIESEC members because money left behind by
projects can help to expand these projects in the future . To achieve sustainability level 2 , I think
there should be more communication between Finance and the rest of the members, that is,
before someone makes a decision, it would be okay to ask the finance if they feel that this
action will be sustainable or not. At the s ame time, less important expenses should be avoided
and attempt to obtain as many financial sources as possible. For example , an EP has to be
transported in a certain place, and TL is thinking of paying a taxi, in which case it would be more
sustainable to ask another member if he can drive them, or start early and go by bus or to avoid
any expense (only if it's not too far away) could walk. Another example would be choosing
between several Halls to support an event, so here you can lecture the hall according to the
number of people who participate, quality and price (you have to choose from 4 Halls first room
is very expensive, g reat 200 chairs) and elegance, the second room is small (50 chairs) and
elegant, the third room is medium in price and size (100 chairs) that look good, the fourth room
is cheap (50 chairs) and the event consists of awarding participants with 105 people, i n which
case it is possible to choose the third room because it is cheaper than the first room but will
have 5 people standing up (a not too big sacrifice).
In order to be more efficient, I consider that all contracts should be kept in both physical and
digital state . It's a good idea to save your contracts digitally because if you happen to need
urgently one of the contracts you can easily look for it in the database ending everything much
faster.
6. Please present 3 financial tracking bottlenecks from the last term and give solutions for each
of them.
One of the tracking issues is that members do not complete the tools. To prevent this problem,
members should be more communicative , and when they have a blur to know they can call the
finance manager. You can’t force a person to do something they don’t want but you can try to
convince them that this is important and will help him more in the future.
One problem is also the mistaking of the receipts so to avoid this problem I was thinking that I
could explain to the members how to write a receipt. First of all, when someone writes a
receipt, they need to be careful about what they are writing, and in the event they are wrong to
announce in time to be canceled before mistakes are made (for example, you are wrong with a
receipt and the wrong chick is the same registration number, so there will be more wrong
receipts and it will be more uncomfortable to cut more receipts than one)
Another issue is contra cts that are not done in time or not given to the responsible person. I
believe that members should be informed that they should bring contract staff to the person
responsible for them and not leave them at random in the place where they can be lost.
Membe rs should know the importance of a contract. Another solution would be to make a
special place in the premises where the contracts are left, like a post box to avoid mixing with
other papers.
